Admin Support to Company Secretarial team

Provide administrative support to the company secretariat services department and further to ensure the continuity of service to the SHW Residential Property Management Departments and undertake administrative support and credit control functions for the company secretariat team.

Duties will include the full range of administrative services to clients including:
- Produce statutory forms for the appointment of directors and secretary for Residential Management Company (RMC) clients
- Maintain Register of Officers
- Maintain up to date Register of Members/Shareholders
- Produce and file Annual Confirmation Statement
- Hold company books and constitutional documents (Memorandum, Articles of Association and Certificates of Incorporation)
- Load and run the Company Secretariat package for all SHW clients that have appointed SHW to provide them with Company Secretary functions
- Issue share certificates
- Provide particulars for mortgages or charges
- Receipt notices of transfer, assignment and charge
- Produce Land Registry Certificates
- Update Qube and inform Brighton accounts team and PM’s on changes of address and owner
- Assist with leaseholders’ and residents’ queries including but not limited to post sales Company Secretariat queries
- Assist the Property Managers and act as an interface with the Brighton accounts team on all financial client account issues, including credit control and historical queries
- Produce Company invoices for administrative work undertaken by the Eastbourne office
- Answer telephone calls and deal with callers, when Property Managers are absent from office
- Ensure delivery of service concurs with quality assurance procedures, RICS and ARMA codes, QA and GDPR and good practice generally
- Assist with the production of presentations for new clients
- Attend client meetings as required and regular formal and informal client liaison and reporting
- Assist with all office administration, including but not limited to filing, incoming and outgoing post, supplies ordering and adding to the general smooth running of the office.

In addition, the job holder will be responsible for seeking to enhance the client relationship, by referring other SHW services when appropriate.

This is a part time position, working 12 hours per week across 2-4 days.
Salary: £7,176.00 /year
